Project Overview

We completed a data migration project for an Aberdeen engineering company, Caledonia Services.  We migrated their corporate data from on-site infrastructure to cloud based storage utilising Sharepoint within Microsoft’s O365 suite.

Project Background

The client had legacy on-site infrastructure that was out of both hardware and operating system support. They wanted it to be replaced in order to ensure a solid platform for growth.

With increased growth, the business was unable to collaborate effectively on corporate data using their existing platform, causing duplicated data, operational delays and overall confusion and inefficiencies.

The Solution

Our solution was to migrate the data from the on-site hardware to Microsoft Sharepoint hosted within Microsoft Office 365. The security of the data was strengthened by Multi Factor Authentication and role-based access. We set up Datto cloud backups to ensure business continuity.

The implementation involved:

  1. Designing a Sharepoint Hubsite that facilitated internal notifications and simplified the navigation of the data structure.
  2. Working with our client to re-think and re-design the data structure, which ensured that the correct staff had quick and secure access to the appropriate data.

The data was then migrated to Sharepoint, with minimal disruption to daily operations.

The Challenges

Our main challenge in implementing the migration was data identification and restructuring. The purpose of this phase was to ensure that data access was aligned with specific roles within the organisation in order to improve security and simplify the on-boarding of new employees.

In addition, it ensured that only “live data” was migrated to the primary Sharepoint libraries.  Aged data was migrated to an archive library within Sharepoint.

The Outcome

The client is now reaping the multiple benefits of the migration, which include:

  • Ability to co-author on Microsoft Office 365 files, which has eliminated collaboration issues. Multiple colleagues can now work on the same data in real-time.
  • To accommodate the increase in blended working, staff can now securely access corporate data from any location.
  • Staff are device agnostic and can access their data from any device including tablets and mobile devices.

Our client has achieved a substantial reduction in the total cost of ownership of their IT infrastructure.

We eliminated the requirement for substantial capital expenditure on a depreciating asset and replaced it with minimal monthly recurring costs, based on the staff headcount.  Our client is now able to forecast their IT budget effectively and accurately.

When it came time to upgrade our old server ALTO could have suggested simply replacing it. Instead they provided an option to replace our server with Microsoft 365 Cloud Services, effectively creating a serverless office.

ALTO ensured the transition from server to cloud was seamless. It was so good that we were able to continue working as we had previously, feeling as though everything carried on as if we had a server. This gave us time to get to know the enhanced features of Microsoft 365 that now enables our team to work from a secure web-page on a home computer if needed.

ALTO’s team instilled us with the confidence to take this step for our business and we are delighted with the results.
